How to send large files?
Click on the central logo to select the files you want to send.
You can also simply drag and drop the files you want to send.Choose how you want to send your files. Either via the “Email” feature or via the “Link” feature.
Click on “send” or “get a link”
What is the difference between “email” mode and “link” mode?
• Email mode: you enter your email address as the sender and the recipient’s email address. Both of you will receive an email when the transfer is sent.
• Link mode: a link is automatically generated from your files. The transfer link is sent to you by email. It is then up to you to share the link with your recipient in the way that suits you best: SMS, social networks… You can customize the name as you wish.
Some tips to keep in mind:
• email mode - “sender name” field: Enter a sender name so that your recipients can easily identify you via the automatic email sent by Smash. This field is optional.
• link mode - check the box “require an email to download files” in order to identify the email address of the recipient who downloads your files.
How to configure your transfer?
Click on the “settings” wheel at the bottom left of the sending interface to access the parameters available for your transfer. Available for both “Email” and “Link” sending modes.
Finalize your settings by clicking OK to save.
The available settings are:
• Validity period: the number of days displayed is the default duration. You can modify it and set it up to a maximum of 30 days. Your transfer expires at the end of this period and your recipient will no longer be able to access it.
• Password protection: protect your transfer with a password. Your recipient will need to enter it to access the files. Make sure to note the password and share it with your recipient by email. Smash does not automatically send the password to the recipient.
• Be notified for each download: enable or disable notifications for each download. An email is sent to notify you each time a download is completed.
• Display a file preview: enable or disable preview. The preview allows the recipient to have an overview of the files before downloading.
How to delete a transfer?
From your account, go to the “Sent transfers” tab
Click on “...” > “View transfer details”
Click on the “delete transfer” button and confirm deletion
How to receive files?
The file receiving feature is useful when you need to allow clients/partners/providers to send you files, without requiring them to create an account or face any constraints.
Click on “receive mode” at the top right of your personalized Smash URL
Click on the central button so that a file drop link is generated within a few seconds
Share this link with the people who need to send you files by copying it
Your contact who has the drop link does not need an account or your email address. They simply need to enter their email address so that you can identify who sent you files.
Once the upload is completed, you will receive an email notification.
A drop link can be valid for an unlimited period and allow you to receive an unlimited number of transfers, depending on the settings chosen by the Smash account administrator.
How to log in to my account?
There are two ways to log in to your account: using a username & password or via SSO.
Login with password
Once you have been added by the administrator, you will receive an activation email.
Accept the invitation to be able to set up a password.
Choose your password to validate the creation of your account, then click on “Create an account”.
If your administrator has enabled multi-factor authentication (MFA), you will need to log in by choosing one of the following two methods:
- email method: a code is sent to the email address associated with your Smash account. The code is valid for 15 minutes. Once the code is entered, authentication is set up
- mobile app method: make sure you have installed an app such as Google Authenticator or Microsoft Authenticator. Scan the QR code displayed on your screen using the mobile app.
Then, you will have access to the different features of your account: sent transfers, deleted transfers.
Note:
• If you do not receive the invitation email, please check your spam folder. If the problem persists, you can ask the account administrator to click on “resend invitation”.
• If the interface loops when setting up a password, the issue is caused by a misconfiguration when adding you as a member. To resolve this, the administrator must delete your profile and re-add you by selecting the “standard” authentication mode.
Login via SSO
Go to your company’s Smash URL.
You will automatically be redirected to your identity provider’s portal (Azure, Okta, Google, etc.), where you will need to select your identity/account.
Or, go directly to the Smash menu > log in > enter your email address, and you will be redirected.
Login will only be required on first access (unless you change browser or log out).
How can I recover my forgotten password?
Does not apply to SSO users.
Go to the login page for your account and click on “Forgot password?”
Enter the email address used for your Smash account and click on “Reset”.
Reset your password from the email received by clicking on “Reset password”.
You can then log in again using your new password.
Note:
• You will not receive a password reset email if it is not the same email address used on Smash.
• The reset link is valid for 30 minutes. After that, you will need to submit a new request.
How to track the activity of a transfer?
Once your transfer is sent, you can use several features to monitor the activity performed on it by the recipient(s).
Go to “Sent transfers”
To track the activity of a transfer, click on “...” on the right, on the corresponding transfer line
Click on “View transfer activity”
You will get an overview of the transfer activity, as well as the number of opens and downloads performed by each recipient
You will get detailed activity for each recipient: the action performed, the time, the date
Note:
• An unidentified recipient is a recipient for whom the Smash system cannot provide information (email address). This only applies to transfers sent via the “Link” option.
• To identify the recipient of a “link” transfer, you must check the box “require an email before downloading” from the sending page (see “How to send files”).
• In the case of a transfer sent via “Email”, the recipient’s email address who downloaded the files is automatically displayed in the table.
